Overview of the Events Market

The events market in Brazil has been experiencing very high annual growth rates since the beginning of the 2000s. From 2001 to 2014, this market had an average annual growth rate of 10% in revenue. In São Paulo, the largest market in this sector in Brazil, the revenue from the events sector alone is expected to amount to somewhere around BRL 30 billion in 2014.

The most active season for equipment rental in Brazil is at the end of the year in November and December, when companies contract them for end of the year celebrations. Another very profitable season for this sector is during election campaigns. Every two years, candidates fill all the demand of available rental equipment for their political rallies.

Equipment Allocation

The equipment can either be delivered directly to the venue or at another location of your choice. In this last case, it will be up to you - the customer, to move the equipment to the venue and to install and uninstall it, while if the delivery is made to the actual venue the installation is generally included.

You can also opt for technical assistance for the rented equipment during the event. In case of equipment failure, the service provider must be contacted immediately and replace the faulty equipment. Normally, as rental equipment is in perfect or almost perfect condition, technical insurance is generally not required, although it is always important to be insured against all kinds of problems.

Rental Agreement

In the rental agreement, both yourself and the service provider must be duly identified, with both stating their Identification Document numbers, as well as their CNPJ or CPF - in the case of individuals.

The rented equipment must be thoroughly detailed and described, along with the activities and locations in which they will be used. Then, the delivery and payment conditions are stated, as well as under which conditions the rented equipment should be returned.

It is important to state that you must keep the Nota Fiscal for the rental equipment and the rental agreement with you at all times during the event, as proof that the equipment was properly acquired. When renting equipment that is shipped from other states in Brazil, the Nota Fiscal for the rental equipment and the rental agreement must be sent with the equipment, otherwise it might be withheld when crossing state borders.

It is also important to mention that ICMS and ISS taxes are not levied on the rental of equipment, even when equipment is rented from other states.
